An automation project can include pipelines that read incoming data, make decisions based on your business rules, write drafts, update your spreadsheets and schedule outgoing messages. It can mean taking a manual process that currently requires three different tools and turning it into a single script that runs on a schedule. I default to free tiers and the tools you already have. My own tools run their AI steps through a Claude subscription rather than a metered API, and I look for the same kind of setup for yours. If a project needs a paid service, I will tell you up front before we start building. I build based on how you actually work today. We start by mapping the exact steps your team takes to get from a raw input to a finished result. I do not build a demo in a vacuum. My operating principle is evidence before done. I test the real path with a real input all the way to the real output. When I built the Reportcards ERP, I had to look beyond the email, push and PDF worker code to how those jobs ran. The workers now run as scheduled Windows tasks, with a heartbeat and an undelivered-alert list to make problems visible. I caught this by checking actual delivery rather than relying on the code. I treat scheduling and delivery as separate checks: a running task does not prove that an email, push notification or PDF reached its destination. That is the level of testing your automation gets before I consider it finished.
Where a person stays in the loop
Automation works best when it prepares the work for a human to approve, rather than running completely blind. The GMB Post Generator creates a dated text file and a matching image, and a person reviews and posts them. I keep posting manual in this tool: it prepares the post and image for a person to use. The SEO Autopilot finds backlink prospects and competitor gaps, and writes personalised outreach drafts, but a person reviews and sends every single one. There is no automated link placement.
